Accurate letters from your own wording, in a few clicks

Typing out confirmation, promotion or warning letters by hand is slow and easy to get wrong. With Letter Templates you write the wording once, and DeeHr360 fills in the details from the employee's record. The letter is produced as a PDF on your letterhead and saved to the right folder.

How it works

5 steps, from start to finish

  1. Write the template

    Write the wording in the editor and choose what the letter is for, such as a confirmation, promotion or warning.

  2. Insert merge fields

    Add fields such as the employee's name, job title, department or a case reference from the list, and unknown fields are caught when you save.

  3. Preview for a person

    See the letter filled in for a real employee before anything is made, with any missing details shown.

  4. Issue the letter

    Make the letter as a PDF on your letterhead, signed in the name of the person issuing it.

  5. Filed automatically

    The letter is saved in the employee's Letters folder, or in the case folder if it is a disciplinary letter, and can be shared with the employee.
