Employee Management

Every employee's record, from first day to last

Employee details are often spread across spreadsheets, email and paper files, and nobody can say which version is right. Employee Management keeps one checked record for each person. It also runs the work around that record: joining, probation, documents, policies, system access and leaving.

How it works

5 steps, from start to finish

  1. Register the new joiner

HR enters the person's details, and the system warns of possible duplicates before the rest of the form is filled in.

  2. Verify, approve, grant access

The record is checked, then approved, and only then is the person's login switched on.

  3. Onboard with a checklist

The best-matching onboarding checklist starts, and tasks go to the right owners or to the new joiner.

  4. Manage probation and growth

Run the mid-point probation review and confirm, extend or end probation, then raise transfers and promotions for approval.

  5. Offboard with clearance

Open an exit case, get it approved, collect sign-offs from each department, and access ends on the last working day.

What it does best

Built for the way HR really works

Field-level privacy

Sensitive details such as ID numbers, date of birth, bank accounts and salary each have their own permission, and other users see them hidden or masked.

Complete employment history

Transfers, promotions and exits are sent for approval and take effect on their effective date, and every change is kept in the employee's history.

Policies with evidence

Employees accept the current version of each policy, and the system records when, from which IP address and in which browser.

Separate approval and set-up

HR approves each system access request, and IT then records that the account has been created.

Documents that stay organised

Each employee has a private folder. HR verifies uploads and can see which required documents are missing or about to expire.

Exit clearance queue

Each person signing off an exit sees only the items waiting on them, and can sign off, refuse with a reason or mark an item as not applicable.

Who uses it

Each person sees their part

HR

Register and verify employees, run onboarding, probation and exits, and keep documents and policies in order.

Managers

Raise transfers and promotions, and sign off clearance items for people leaving.

Employees

Work through their own onboarding checklist, accept policies and see their own document folder.

Administrators

Decide which roles can see each sensitive field, and keep the list of systems that access can be requested for.
