Procedure by severity
Each severity level sets whether there is an investigation, show cause, hearing, suspension or appeal, and how many days each step allows.
Module
Handle discipline consistently, with every step recorded
Disciplinary matters carry risk when procedures differ from case to case or steps go unrecorded. This module turns the company's disciplinary code into a set procedure for each case, from complaint or allegation through investigation, hearing, outcome and appeal. Evidence, letters and decisions stay with the case.
How it works
HR sets severity levels with their procedures, lists offences, defines sanctions and builds a matrix suggesting sanctions for first, second and third offences.
A case is opened by HR or a manager, or taken up from an employee's complaint, and follows the procedure for its severity.
An investigator records findings, and the employee answers a show-cause letter in the system or on paper.
HR schedules a hearing with a panel and notice period, and the employee can bring a representative.
A proven outcome goes through approval before it reaches the employee's record, and the employee can appeal within the set window.
What it does best
Each severity level sets whether there is an investigation, show cause, hearing, suspension or appeal, and how many days each step allows.
The system suggests a sanction based on the employee's earlier sanctions, and going against the suggestion needs a reason.
Approved sanctions are added to the employee's record, surcharges are recovered from pay and dismissals open the exit process.
Suspensions record their dates and pay rate, and payroll deducts the unpaid portion.
Employees can report colleagues, anonymously if the company allows it, and HR reviews each complaint before taking it up.
Evidence, statements and minutes are kept in a confidential folder within the employee's documents.
